Info and deadlines

  • Update your company profile and verify your display name in the eShop as soon as possible. Exhibitors will be published on the event website by 23 Jan 2026.
  • Please check the billing details in your order confirmation and report any corrections to yrityspalvelu@messukeskus.com by 30 March 2026. Invoices will be sent separately, and the due date is April 30, 2026. Please note that any changes to billing details made after the invoice has been issued will incur an additional billing fee.
  • If you have ordered or your stand includes graphic products, please remember to send the necessary materials to graphics@messukeskus.com by 4 May 2026, a month before the event opens. A 50% rush fee will be added to orders for materials submitted late.
  • Notify at least one month before the event, no later than 5 May, about gases, open flames, food sales or serving, and the frequencies of your own sound system to ninni.manninen@expomark.fi. Read more under instructions and permits.
  • When you place your orders by 25 April 2026, you get the products at a cheaper price. Save and order in advance!
    • 26 April 2026 prices will increase by 20 %

Stand construction

  • Wed 3 June 2026, from 9:00 onwards.
  • Thu 4 June 2026, by 20:00 – all stands must be fully completed and ready for the organizer’s inspection.
  • Stands built by the organiser will aim to be completed by Thu 4 June at 12:00 (e.g. Erähalli).
  • Vehicle access to the area ends on Fri 5 June at 9:00.
  • Construction access through public entrances Gate 1 and Gate 2.

Stand maintenance

Maintenance time is available two hours before the event opens and one hour after closing.

  • Fri 5 June: 8:00–10:00 and 18:00–19:00
  • Sat 6 June: 8:00–10:00 and 18:00–19:00
  • Sun 7 June: 8:00–10:00
  • Maintenance access through public entrances Gate 1 and Gate 2.

Stand dismantling

  • Dismantling begins on Sunday 7 June 2026, earliest at 17:30.
    Vehicle access may begin no earlier than 17:30.
  • Dismantling time continues until Monday 8 June 2026 at 12:00.
  • The area must be fully cleared by the end of the dismantling period, and the stand space left clean.
  • Dismantling access through public entrances Gate 1 and Gate 2.

Please note that any deviation from the above schedule will result in the exhibitor being responsible for any additional costs incurred.

If your stand includes open flames, liquefied gas, hot work, tastings, animals, firearms, archery equipment, or knives, please complete the form no later than one month before the event, by 5 May.

Firearms, ammunition, bladed weapons, and archery equipment at the stand

The police will carry out inspections at stands displaying weapons. The inspection will be scheduled separately, and exhibitors will be informed in advance. A person responsible for securing the weapons must be present at the stand during the inspection.

Flammable Gases (LPG, Acetylene, Other Flammable Gases)

The use of flammable liquids and LPG (heaters, food preparation, etc.), as well as chemicals and the equipment using them, must be reported no later than one month before the event, by 5 May.

LPG may not be stored or used in an enclosed space. The maximum amount of LPG allowed at one stand is 25 kg; spare cylinders may not be stored at the stand.

In addition, the location where liquids/gas are used must be equipped with a portable fire extinguisher (minimum rating 27A 144B) and, for gas use, also a fire blanket.

Rescue authorities will inspect the stands before the event begins.

Open Flame

Open flame refers to, for example, a campfire or any fire use where flames can escape via the ground or due to sparks. The use of open flame and its restrictions are regulated by the Rescue Act. Extra caution and care must be exercised when handling open flame.

Water must be available immediately next to the open flame for extinguishing.

Open flame is allowed only if no forest fire warning issued by the Finnish Meteorological Institute is in effect.

Open flame must be reported no later than one month before the event, by 5 May.

Rescue authorities will inspect the stands before the event begins.

Lightweight, quick-setup, and pop-up tents used at the event

In outdoor areas, the exhibitor or the person setting up the tent is responsible for the structure and its safety. Please also ensure proper anchoring of the tent to withstand sudden gusts of wind.
This guideline applies to anyone using their own tent under 50 m² at the event.

Vehicles displayed at the stand

Vehicles may be displayed at the fair under certain conditions. Storing any vehicles other than designated exhibition vehicles in the event area is prohibited.

Notification of mobile food premises

If you sell or serve food products at your stand, please notify us when reserving your stand, or separately no later than one month before the event, by 5 May.

We will compile a list of operators and submit the information collectively to Environmental Health Services. If you sell food, we will also send you a form with instructions to be completed for the authorities.

Drone use

The use of drones in the area is not permitted.

Wireless Devices – Stand Audio Equipment

If your stand uses wireless devices (e.g. wireless microphones, radio‑controlled devices), you must report them in advance no later than one month before the event, by 5 May, to jukka.raninen@taikaverstas.fi.

Please indicate which devices will be used at your stand and the frequencies on which you intend to operate them. We will review the frequencies to avoid overlaps and to ensure all devices function properly during the event. We will contact you if any adjustments to the planned frequency ranges are necessary.

Veterinarian and Animal Welfare

Animals may be present at stands, especially in outdoor areas.

The supervising veterinarian will visit the stands with animals on Thursday, 4 June 2026.

Obligation to Provide a Receipt

Exhibitors must offer a receipt to the customer when payment is made in cash or by payment card.
The receipt may be printed, handwritten, or electronic.

Exhibitors most important tool! Through the eShop, you can handle orders and all other tasks related to fair participation easily and quickly.

Registration path:

  1. Go to https://eshop.expomark.fi/en-US/registration
  2. Fill in the requested information on the form.
  3. After registration, you will receive a message in your email. Confirm the user account by clicking the confirmation link in the message. Your account will be activated.
  4. Once you have confirmed the user account, you can log in from the home page https://eshop.expomark.fi/en-US

After logging in to the service, you can see participations in upcoming events on the front page. Choose to participate and you get to take care of the fair preparations.

NOTE! In the beginning only the contact person has the permission to see the participation. You can share the access rights from Share access rights.

Marketing and communications

All exhibitors participating in the event are published on the event’s website.

The name of your company that appears on the list will be the one you provided to the sales manager when confirming your participation in the event. If you want to change your display name, you can easily do so through the eShop under Market your participation. Instructions for updating your profile >>

In addition you can easily upload your company logo, a link to your company’s website, and other information you want to share with the event’s visitors (also videos/images) to your profile page.

Please complete all the necessary information about your company as soon as possible, so visitors can explore all of the participating companies in advance. The information can be easily updated through the eShop under Market your participation. NOTE! There might be few hour delay when updating the profile.

Please note that the display name must be updated well in advance, to ensure it is included in the printed expo info and guidance.

Tell the visitors what’s happening at your stand – update the information from stand program 

Visitors look for information about the expo’s offerings and what is happening at the stands in advance. The program can include product demonstrations, presentations, tutorials, musical performances, challenges, competitions, etc.

Register your program in the eShop under the Program section, and it will be published on the event’s website, giving you free visibility for your program.

You can send eTickets via the Invite Your Customers page in the eShop. The tool will be available at least a couple of months before the event. You can send an unlimited number of eTickets – they will be invoiced after the event based on the tickets used (i.e., scanned at the entrances), Your participation includes 1 free ticket per purchased stand square meter. These will be deducted from the invoiced amount.

You can edit these text templates to create posts and highlights for your own channels about your participation in the event. Share the news on your website, newsletters, social media channels—and invite your stakeholders to meet you at the event.

Remember to actively contact journalists and influencers and invite them to your stand. Publish press releases through the eShop under Market your participation and deliver printed versions to the Media Room, which is open during event hours.

Journalists can be identified at the fair by the PRESS badge, and social media influencers and bloggers by the CONTENT CREATOR badge.

Inform the event organizer if your stand features new products, performers, programs, media-attractive activities, or press conferences.

The Media Room is located in Hall E (school building), 2nd floor, within the exhibition area.

The International Outdoor Expo’s exhibition guide, including maps, will be published in co-operation with Otavamedia in Erä magazine issue 5, which will be released on 13 May.

Fair Radio


Fair radio announcements provide information about the event and broadcast exhibitors’ audio advertisements.

  • Package price: €250 + VAT. Includes 5 plays per day, a total of 15 plays. Spot duration approx. 10–15 seconds.
  • Production of audio spots: €70 + VAT
  • Audio material requirements:
    • File format: mp3 or wav (48 kHz, normal stereo, 256 kbps or better compression quality)
    • Stereo audio must be mono‑compatible
    • Peak levels between -10 dB and 0 dB

LED Screens 10–16 m²

Live programme content and exhibitor advertisements are shown on the LED screens located at programme areas.

  • Package price: €500 + VAT. Includes 5 plays per day, a total of 15 plays. Spot duration approx. 10–20 seconds.
  • Material guidelines:
    • Video: 1920×1080p60, H.264 format, MP4 compression
    • Images: .JPG format

Stand construction

You can conveniently send access passes to your stand team members by email or mobile phone via the eShop. The Submit Passes tool will open in the eShop approximately a couple of months before the event.

Access passes are exchanged for wristbands at the gate upon arrival at the exhibition area. These wristbands also serve as parking permits for the event parking areas.

The recipient of the access pass may either print it in advance using the link provided in the email or present the pass on their mobile device.

You may create as many access passes as needed. However, please note that any exhibitor access passes sent beyond the number included in your stand package will be subject to a fee.

Access passes included in the stand package:

  • Stand under 6 m²: 3 passes
  • Stand 6–10 m²: 5 passes
  • Stand 12–21 m²: 10 passes
  • Stand 24–36 m²: 15 passes
  • Stand 40–50 m²: 20 passes
  • Stand over 50 m²: 25 passes
  • Sub-exhibitors receive one complimentary access pass.

Exhibitor’s Pass

The exhibitor’s pass is for the personnel working at the stand during the event. It is personal and valid during the build-up, event, and dismantling periods. The access pass must be visible at all times during the event.

Contractor Access Pass

The contractor’s pass is free of charge. It is valid during the build-up and dismantling periods only.

Indoor (Erähalli, Beretta Areena and Eräkirjamessut)

The maximum construction height indoors is 250 cm, unless otherwise stated in the floor plan. Exhibitors are responsible for building their own partition walls indoors at their own expense. All structures visible to the public must be finished neatly (cleaned, covered, or painted). All structures must be sufficiently strong and safe (the organizer reserves the right to require modifications). All fabrics must be fire-resistant and fireproofed.

Creating new attachment points in the floor or building structures is prohibited. Any attachment to the hall ceiling, pillars, or wall structures is forbidden without separate permission.

Driving vehicles into the halls is strictly prohibited.

Our stand packages are designed with reusability in mind for structural and base materials, and energy efficiency in lighting.

Our pricing is based on price periods. The earlier you place your orders, the cheaper you will get the products and services you need at your stand, and you will ensure the availability of the products. Recycling Points and Waste Sorting

Each exhibitor is responsible for properly sorting the waste generated at their own booth and taking it to the event’s recycling points. Small waste produced during the event, as well as cardboard and stretch plastic, can be sorted at the recycling points.

Each exhibitor is independently responsible for recycling large waste generated from building or dismantling their booth.
If you only rent an empty booth space, the area must be left empty and tidy after the event. Please remember to take with you all large waste requiring sorting, booth structures, carpets, and decorations.

Water Points

There are water points available in the area. Please refer to the map for available water points. The map will be published later.

Materials used in event construction must meet the requirements for assembly spaces (fire load class 600–1200 MJ/m²). Furnishings, decorations, and other stand construction materials may not be easily flammable, nor may they endanger people’s safety during evacuation or hinder rescue operations. Materials must meet at least the fire classifications listed below, or they must be fireproofed.

Material Requirements and Classifications

Stand structures:
Walls, fixed floors (e.g., wooden flooring), and partitions.
Minimum requirement: Fire class E.

Furnishings:
Banners, curtains, fabrics, loose carpets (e.g., exhibition carpet or artificial grass), and similar items.
Minimum requirement: Normally flammable.
Examples of classifications for normally flammable materials include DIN 4102 B2, SL 2, M2, and EN 13501-1 D-s1, d1.
Normally flammable material ignites but not easily; it may burn through but does not produce large amounts of melting, fire-spreading material.

Products on display:
No fire classification is required if the quantity is reasonable.

Use of pyrotechnics or hot work:
Materials in the immediate vicinity must meet class B-s1, d0. The safety distance is assessed case by case.

EPS insulation materials (e.g., Styrofoam):
Use is allowed, but the material must always be S-quality.

If a material does not meet the required standards, it can be fireproofed, provided the material allows it.

At the event

Exhibitors have their own free parking area.
The exhibitor parking areas are located next to the exhibition grounds, in Latupuisto and Teutonpuisto along Laaksokatu.

Exhibitors may park their passenger cars free of charge in all event parking areas by showing their wristband to the parking attendant.

For exhibitors, the wristbands also serve as parking permits in the parking areas.

A separate parking area is reserved for larger vehicles at the Uramo School parking lot (Uramontie 63).
Note: This is not a parking area for passenger cars.

The Exhibition Office assists exhibitors and contractors during the event’s build-up and opening hours, including matters related to stand orders. The Exhibition Office is located on the 2nd floor of Hall E (school building) within the exhibition area.

Exhibitors have access to their own restaurant located in Hall E. This area also includes restrooms reserved exclusively for exhibitors, which are not accessible to visitors and typically have little to no queue.


Additional information about lunch vouchers will be provided closer to the event.

Restrooms

Exhibitors have their own restrooms located next to the restaurant in Hall E. These facilities are reserved exclusively for exhibitors, meaning visitors do not have access, and they usually allow entry without waiting in line.

Showers

Exhibitors can use the shower facilities located downstairs in the Sako Arena (Sports Hall).

Do not leave valuables visible when the exhibition day ends. Make sure your insurance coverage is in order and consider whether you need additional equipment, such as display cases, locks, or security cables for computers or monitors.

Take responsibility for your property. Assess potential risks in advance. Appoint a person responsible for the security of your stand. The organiser’s general security monitoring alone is not sufficient. The most high‑risk times are during the construction and dismantling times, as well as during maintenance hours, when many people move in and out of the expo area. Do not leave your stand immediately after the exhibition day ends. It is advisable to remain on-site for about half an hour after the gates close. Thieves are particularly interested in items that are easy to resell. Consider how you store money. Do not keep cash at your stand in a place where it can be easily snatched. Try to ensure that cash is transferred to a more secure location during the day. Also make sure your insurance is fully up to date!
